HOW TO REGISTER AS A VENDOR WITH THE TOWN OF COLLIERVILLE The Town of Collierville utilizes a vendor management program that is part of our purchasing software. The portal for the BuySpeed Online (BSO) website may be accessed at http://tocpurchasing.collierville.com. Simply click the word "Register" to begin the registration process. During registration, you will be asked to select certain NIGP commodity codes. NIGP is the National Institute for Governmental Purchasing and the commodity codes are a standard set of numbers that represent the products and/or services that your company is able to provide to the Town. The commodity code section is particularly important because the Town uses them when searching for vendors who sell a specific product or service. HOW TO UPDATE/REVISE YOUR VENDOR INFORMATION The Town of Collierville's vendor site is designed so that our vendors may self manage the information they provide. If any information needs to be updated or revised, our vendors have the ability to make those changes on their own. The following steps should assist you in locating your vendor information: - Log in to the Town's vendor site at http://tocpurchasing.collierville.com.
- Click "Seller Administrator" in the upper, right hand corner of the page.
- You will see three options:
- Maintain Organization Information - This is what you select to change your address, commodity codes, obtain your vendor number, etc.
- Maintain Users on this Account - This is what you select to view current users for your company, change passwords, etc.
- Add Users on this Account - This is what you select to add an additional user for your company to this account.
HOW TO RECOVER YOUR VENDOR NUMBER If you are currently a registered vendor with the Town of Collierville but have either forgotten or misplaced your vendor number there are two ways to recover the number: - Search your email service provider (MS Outlook, Yahoo, AOL, GMail, etc.) for the email confirmation you received when you first registered as a vendor with the Town of Collierville. - Click the "Seller Administrator" on the upper, right hand corner of the page.
- Select the "Maintain Organization Information" option.
- Select the"Maintain General Organization Information" Option.
- Your vendor number is located at the top of the page.
HOW TO OBTAIN BIDS/RFPs/RFSOQs
If you are a registered vendor with the Town of Collierville, the steps to obtaining a bid, request for proposals (RFP), or request for statement of qualifications (RFSOQ) packet is relatively straight forward. - Go to the Town's web page for Bids & RFPs located at http://www.collierville.com/departments-mainmenu-7/general-services/bids-rfps.
- Scroll down the page. There are separate tables for available bids and RFPs/RFSOQs.
- Locate the project of interest and click on the bid/RFP/RFSOQ number. This number is a link to the distribution request form for each project. It is in PDF format and may be completed either by hand or electronically. Once complete either email the completed form to

- The form does ask for each vendor's vendor number. Please follow the steps in the "How to Recover Your Vendor Number" section above if you have forgotten or lost your vendor number. If you are not a registered vendor with the Town of Collierville, please follow the steps in the "How to Register as a Vendor with the Town of Collierville" section above to become a registered vendor.
- If you email the distribution request form for your project, please be sure to include your e-signature, including name, company name, company address, email address and company phone number in the email.
