NOTICE TO VENDORS

February 4, 2008

Dear Vendor: 

The Town of Collierville’s Purchasing Department is in the process of migrating to a procurement software that will change the way we do business.  One of the most exciting aspects of the software is that our vendors will be able to register, access and update their own information through a Vendor Management System.  The new system will allow vendors to manage the information required by the Town of Collierville while providing a communication outlet that will enable the Town to contact its vendors collectively when broadcasting important information.   

Another important feature of the software is that it is based on the National Institute of Governmental Purchasing (NIGP) commodity code system, an industry standard for commodity classification of products and services.  Vendors will now have the ability to choose all of the appropriate commodity codes that apply to their business, thereby allowing the Town the most precise and concise information when selecting a vendor.  The accuracy and efficiency of the commodity code system will allow Town departments to access vendor information at the click of a button.   

We are asking that all of our vendors visit http://tocpurchasing.collierville.com beginning February 11, 2008 to register into the Vendor Management System as a Town of Collierville vendor.  At registration, each vendor will first be asked to enter their Tax I.D. and Company Name.  Once submitted, the vendor will then be asked to provide all of the necessary business information the Town requires.  All mandatory information will be marked with an asterisk (*).   

On March 3, 2008, the Town will begin using the Vendor Management database.  It is imperative that those vendors planning to continue to do business with the Town of Collierville register.   

The Town of Collierville Purchasing Division staff is dedicated to the successful implementation of this system and looks forward to improving the way we do business with our vendors.  Please contact Purchasing staff at tocpurchasing@ci.collierville.tn.us if you have any questions or difficulties during the registration process.
